What about something with a Web interface? That way, we'd only have to 
install it once, and people could access it from any computer and any 
platform.

During my ill-fated stint as a grant writer, I used Collabtive[1] to keep track 
of my work. It isn't as convoluted as a lot of the management software I've 
seen, but it's still flexible enough that I think it might fit our circumstances. 
You can define milestones and tasks, there's a convenient calendar view 
of upcoming deadlines, and comments & file uploads are both supported.

Take a look at the demo on the official site. The default language is 
German, so you'll have to change that first. Here's how to do it:

1) In the top right corner, move your mouse over the wrench. Three new 
icons appear under it. Click on the wrench and gear.

2) Open the dropdown menu next to the “Sprache” field and select 
Englische (100%).

3) Click Abschicken.
